A professional association turns 4,000 member articles into answers
Members paid for access to a knowledge base they could not navigate, so they emailed the secretariat instead. A private AI chatbot on their Drupal site now answers the same questions in seconds, with a link to the circular.
Problem
The association had published fifteen years of circulars, procedures, model documents, and legal updates on a Drupal site behind a member login. Almost every question the secretariat received by email was already answered somewhere in that archive. Members simply could not find it. The search bar matched on keywords, and members did not use the same words as the editors: they asked about a situation, not a term. Article titles were written in formal language, so a member describing a practical problem got no useful results and gave up after two attempts.
Solution
Encode installed its module on the existing Drupal site and indexed the content types that made up the knowledge base, including the PDF attachments hanging off the circulars. The membership tiers already configured in Drupal were carried straight through, so associate members never receive answers built from full member content. Before going live, the association archived roughly 400 articles that had been superseded, because outdated content was the single biggest risk to answer quality. Answers link to the source article and the chatbot is instructed to say when something is not covered.
Result
Within six weeks the chatbot was live for all members. Questions arriving by email dropped by about 60% in the first quarter, and the secretariat could spend that time on the cases that genuinely needed a person. The clearest change was in which articles got read: material from five to ten years ago, which practically never appeared in search results, started being surfaced and opened regularly.
Impact
The association stopped treating its archive as a compliance obligation and started treating it as the reason people renew. Membership value became easier to explain, because the content behind the login was finally reachable in the way members actually think about their work.
